Business Data Analysis

Gather your data & put it to work

You tell me what success means for your business. Then I show you what the numbers say about getting there.

  • You’re tracking more numbers than you know what to do with, and no idea which ones tell you how the business is really doing.
  • Leadership asks a simple question, and the answer takes days to pull together.
  • Each department swears its numbers are right, and the meeting turns into a debate about whose to believe.
  • Another call gets made on instinct, because the data arrives too late, or too scrambled, to trust.
  • Your reports tell you everything about last quarter, and nothing about what’s coming, or how you compare with businesses like yours.
  1. We talk. You tell me what’s frustrating you, and we find out together whether I can help. The first conversation is free.
  2. I map the workflow. I follow how work moves through your business, from first enquiry to finished delivery, and lay it out visually. That puts the whole business on one page, so you can see which numbers come from where, and where each one ends up.
  3. We define success. We agree what success means for your business, and which numbers show whether you’re getting there. Every team then measures them in the same way, so you spend less time finding numbers and more time using them.
  4. I analyse. I look beyond the profit and loss, at trends over time, what’s coming next, and how you compare with businesses like yours. The same numbers reveal how your teams rely on each other, and where a result in one team starts with the work of another.
  5. We settle it in together. We go through the findings together, in sessions for you and your leadership team, until you understand what the numbers are telling you. If you’d like them kept up to date automatically, I can also build a report dashboard.
How long does it usually take, and is it right for my business size?

This service is mainly for small and medium-sized businesses, but it works for any size. An overview of the basics takes about a week. If I need to find and organise your information first, it takes longer. A larger business has far more numbers to work through, so it will naturally take longer. We’ll go through timelines in more detail in the first discovery meeting, so you’ll know how long the project is likely to take before making any commitments.

What if my information is a mess?

No worries, that’s pretty normal. I organise your information as part of the service. If it needs a larger clean-up, that can extend the timeline. If we’re working through extensive backlogs, Admin Rescue & Support may be worth looking into alongside this service.

Do I need to change the systems I already use?

No. I work within the systems you already have, as they exist in your workflow. If a new one is needed, I’ll present options that may work, but I’m here to gather your numbers, not to change your systems. If you’d like a full review of your systems, have a look at Systems Optimisation & Support.

Which numbers should I be tracking?

That depends on your business. I don’t hand over a standard list. I map your workflow, we agree what success means to you, and I pull forward the numbers that show whether you’re getting there.

What kinds of analysis do you do, and how accurate are they?

Trends over time, forecasting, comparison with businesses like yours, and the measures that matter to your production and your customers’ experience. I’m also looking at how work flows between teams. I find that unexplained friction often hides there. Every number comes from your own systems, and you can trace it back to where it started. The report shows how each conclusion was reached, so you can check it and run the numbers yourself.

Will my team be able to read the report on their own?

The sessions are there so you and your leadership team understand what you’re looking at, and can ask questions. Some methods, like trend analysis or linear regressions, take longer than the length of a single project to learn. That said, I present easy-to-read visuals to make sure the data is clearly conveyed.

What is a report dashboard?

It’s a live view of your key numbers that updates automatically. It’s an optional extra to the analysis. If you choose one, anything that falls out of line in the six months after we finish is covered at no extra charge. If you would like additional support after the six months, support rates will be listed in your contract.

What happens after the report?

If you choose the report and analysis on their own, the project ends once we’ve been through the findings together. If you’d like me to keep running your numbers regularly, in place of a dashboard or alongside one, I can take limited retainer hours, depending on my availability.
